Plan your raids and bring your players together
without Discord or Google Sheets
RaidPlanner is the raid planning tool designed for MMO guilds, esports clans and role-play teams.
Sign-ups by role, automatic email reminders, shared calendar: your events start on time, with the right line-up.
One-click registration
Your members sign up with their character, their role and a comment. You can see the group taking shape in real time.
Automatic reminders
No more forgetting: set up to 5 custom reminders in minutes, hours or days, and emails will be sent automatically to all registered participants before the raid.
Cast lists
Set the number of Tank / Healer / DPS / Support / Affliction roles required, in flexible or strict mode.
Everything you need to organise your raids
RaidPlanner manages the entire lifecycle of a guild event: from its creation by the raid leader right through to the reminder sent to each participant the day before.
📂
Event categories
PvE raids, weekly dungeons, PvP scrims, RP events, social evenings: categorise your events so your members can find their way around.
👥
Limited number of participants
Set a limit (e.g. 25 players for a raid) or leave it open. Any excess registrations are automatically blocked.
🔐
Reserved for certain groups
Restrict access to an event to one or more groups (officers, veterans, recruits, etc.) — invisible to others.
🎭
Required characters
Force the selection of a character during registration: essential if you play multiple classes or on multiple servers.
💬
Registration comment
Each participant can add a note (“available from 9 pm”, “I can tank if needed”, etc.) to help the raid leader.
✅
Flexible participation
Three statuses: I’m in, Maybe, I’m not in. The raid leader can see who’s confirmed, who’s undecided and who’s declined.
🔁
Recurring events
Schedule a daily, weekly or monthly run in a single step — the instances are generated automatically, and a background scheduler regenerates subsequent ones over time. Delete as required: a single event, subsequent ones, or the entire series.
📅
Registration deadline
Set a deadline after which registrations are no longer accepted, so that the line-up is finalised.
📋
Duplicating an event
A weekly recurring raid? Duplicate an event with a single click instead of having to recreate it from scratch.
🔔
Discord notifications (via webhook)
Every time an event is created, and every time someone signs up or unsubscribes, this can be posted on your Discord via the notifications API.
✉️
Email on start-up
Tick a box and all registered participants will receive an email with the details of the rally at the appropriate time.
Set up to 5 custom time limits in minutes, hours or days.
📊
‘Upcoming Raids’ module
Display an ‘Upcoming Raids’ block on your website’s homepage — visitors will see what you’re up to straight away.
🗓️
Calendar module
A dedicated calendar widget allows your members to view the entire monthly schedule at a glance.
📈
Attendance tracking
An ‘Attendance Tracker’ page in the admin panel aggregates attendance, no-shows and attendance rates by member, with filters by category, period and member, as well as charts (bar and doughnut) and a sortable table. Essential for identifying regular attendees and those who need a bit of a nudge.
The right composition, without a shared spreadsheet
RaidPlanner manages the classic MMO roles: Tank, Healer, DPS, Support and Buffer. The raid leader specifies how many of each they want, and sign-ups are automatically organised accordingly.
Flexible mode
The numbers are for guidance only. Players can see what’s missing but are free to sign up as they wish.
Strict mode
The quota per role is locked: a sixth DPS cannot sign up if you’ve allocated five slots. Ideal for Heroic and Mythic+ raids.
Your players will never miss a raid again
Whenever an event is created, an automatic reminder is sent out one day and one hour before it starts. Participants receive the time, title, details and a direct link to the raid page.
Combined with the Calendar module and the ‘Upcoming Rides’ block – which can be displayed anywhere on your website – your members always have their schedule just a click away.
- Automatic reminder 1 day before
- Automatic reminder 1 hour before
- Email sent to registered participants at the start (optional)

FAQ
Is RaidPlanner limited to a particular game?
No. The roles (Tank / Healer / DPS / Support / Buffer) and the character-based registration system are suitable for most MMOs and MOBAs — WoW, FF14, GW2, ESO, Lost Ark, Albion, etc. For games without a role-based system, you can simply choose not to use them.
How do my members receive reminders?
Via an automated email sent 1 day and 1 hour before the start (configurable very soon with customisable timeframes — Premium / Platinum). You can also send notifications to your Discord via the webhook API.
Can I restrict a raid to my officers only?
Yes. Each raid can be restricted to one or more user groups. Other members and visitors cannot see the event.
Can my weekly raids be set up automatically?
Yes, with recurring events (daily / weekly / monthly), you can automatically prepare your raids in advance.
Can I track my members’ attendance over the long term?
Yes, an ‘Attendance Tracker’ page summarises attendance, no-shows and attendance rates by member, complete with filters and charts.
Can my members synchronise their raids with Google Calendar?
Yes, the personal iCal export allows anyone to subscribe to their raid calendar via Google Calendar, Apple Calendar or Outlook.
Does a cancelled raid automatically notify those who have registered?
Changes to raids (date, cancellation, changes to participants) trigger an email to the raid leader and can be posted on Discord via the API.
