Recruit the right players without making a big fuss

Customisable forms, collective voting by your members, trial periods, veto rights, automated emails, forum and Discord integration: Guildi streamlines your guild recruitment process without taking the human touch out of it.

Bespoke forms

Create a form for each purpose (PvE, PvP, RP, casual, etc.) with your own fields, prerequisites and rules.

Collegial vote

Your members vote For / Against / Abstain, comment on the application, and the team decides together.

100 per cent automated

Acceptance → added to the group, trial period, automatically created forum thread, emails and Discord notifications.

A form tailored to every need

A single generic form won’t do. A guild recruits a raid tank, a casual DPS player and an RP player in different ways. Guildi lets you create as many forms as you need, each with its own rules.

🧩
Custom fields

Text, selection, classes, server, level, Twitch link, screenshots — add the fields you need, in whatever order suits you.

📜
Prerequisites displayed

Make your criteria clear (minimum standard, expected grade, length of service, equipment, etc.) before the candidate starts filling in the form.

✍️
Terms and conditions to be accepted

Attach specific terms and conditions to the form, which the applicant must read and accept before applying.

🟢
Recruitment open / closed

Enable or disable each form with a single click. Ideal for opening recruitment by period or by role only when you need to.

🌐
Public or private

Public forms appear on your guild page in the Guildi directory and boost your visibility amongst players looking for a team.

🛡️
Rights by group

Each action (viewing, voting, commenting, approving, moderating) can be customised on a group-by-group basis. Your officers make the decisions; your members offer advice.

📥
Viewable history

All applications are archived — including those that have been rejected — so that you can keep a record of your decisions and avoid duplicates.

🔢
Multiple API connections

Connect each form to one or more APIs (such as Discord) to notify the relevant channels of new applications.

A collective decision, tools to guide it

Recruiting as a team means managing differences of opinion. Guildi gives you the tools to structure the decision-making process without watering it down.

Member voting
Members with voting rights can choose ‘For’, ‘Against ’ or ‘Abstain’. The details of the votes can be shown or hidden depending on your guild’s culture.

Comments
Each voter can add a comment. You can choose to make these comments visible to the candidate to encourage direct dialogue.

Compulsory voting
Enable this option so that members must vote before they can do anything else on the site — no more dragging-out nominations.

Trial period
An intermediate ‘On trial’ status between acceptance and final confirmation. The candidate is on board, but their status remains reversible.

Right of veto
Designate groups (officers, recruitment manager) with the right of veto: immediate rejection with a documented reason, which takes precedence over other votes. Can be revoked in the event of an error.

Possible statuses of an application

Status Colour Description
Pending blue Application currently being assessed
Accepted green Member of the guild
On trial orange Provisional acceptance / trial
Rejected red Application unsuccessful
Rejected after trial period red Trial inconclusive
Departure red Former member

Once the decision has been made, everything falls into place

The real time-saving isn’t in the form — it’s in everything that happens after the decision has been made.

Automatic addition to a group
Upon acceptance, the member is automatically added to the group you have set up (e.g. ‘PvE Member’, ‘Recruit’). A second group can be defined for the trial period.

Customisable emails
Three customisable email templates: acceptance, trial period, rejection. With variables (guild name, candidate name, form name).

Automatically created forum thread
Enable the ‘Create a forum thread’ option: the application is duplicated as a thread in the category of your choice, along with the candidate’s replies. Ideal for archiving and discussion.

Feedback for candidates
Candidates can view comments on their application and reply — useful for recruitment processes requiring clarification.

Discord Webhooks
Every new application and every status change can trigger a Discord message via an API integration. Your officers are notified instantly.

Centralised dashboard
A single view of all applications by form and status, with direct access to details, votes and moderation actions.

Recruit actively… or just amongst yourselves

Each form is marked as ‘public’ or ‘private’ depending on your strategy.

Public: your form appears on your guild page in the Guildi directory. Players looking for a new team will see it, increasing your chances of finding the right candidates.

Private: your form is only accessible to people you invite to apply (via a direct link shared on Discord, for example). Ideal for recruitment by referral.

“We’ve been able to set up three different application forms — PvE HL, PvP, RP — each with its own rules and its own recruitment pool. Before, we used to do everything via private messages on Discord: it was a nightmare to keep track of. Now, every application is tracked, voted on and archived.”

FAQ

How many application forms can I create?

As many as you need. Each form has its own fields, prerequisites, rules, status (open/closed) and settings — you can create a form for each role, game or game mode.

Do all my members have to vote on every nomination?

No, it’s up to you. You can grant voting rights to a specific group, or make voting compulsory for that group — in which case the voters concerned will have to cast their vote before they can continue to use the site.

What is the trial period?

This is an intermediate status between ‘accepted’ and ‘rejected’. The applicant is admitted to the guild (and automatically added to the designated test group), but their application may be confirmed or rejected at the end of the trial period.

The right of veto – how does it work?

You designate groups with veto rights (typically your officers or the recruitment manager). A veto immediately rejects the application, stating the reason, and takes precedence over other votes. A veto may be revoked in the event of an error.

Can the application be discussed in a forum thread?

Yes, and automatically. Enable the ‘Create a forum thread’ option in the form settings: every time a new application is submitted, a thread is created in the forum category of your choice, containing the applicant’s answers, ready for your members to comment on.

Does the applicant receive an email when their application is accepted or rejected?

Yes. Three email templates can be configured (acceptance, trial period, rejection), with customisable subject lines and content. The variables (guild name, applicant’s first name, etc.) are filled in automatically.

Can my job vacancy be listed on the Guildi directory?

Yes. Tick the ‘Public form ’ box: your form will appear on your guild’s page in the directory and will be visible to players looking for a guild. Your private forms remain accessible only via a direct link.
